Google review reply templates for multi-location brands
Reply templates for positive, mixed and negative Google reviews that branch teams can adapt, plus rules that keep replies consistent across locations.
Templates keep replies consistent when many people answer reviews for many locations. The risk is that every reply reads the same. Use these as a starting structure, and always add one detail from the review itself.
Rules that apply to every reply
- Use the reviewer's first name if Google shows it.
- Mention one specific detail from their review.
- Name the location when your brand has several nearby.
- No phone numbers, links or offers in public replies.
- Sign off the same way across all locations.
Positive review
“Thank you, [name]. We're glad the [detail] at our [location] made your visit. We'll pass your kind words to the team. See you next time.”
Keep it to two or three sentences. Positive replies are read by future customers more than by the reviewer.
Mixed review
“Thanks for the honest feedback, [name]. Happy to hear you enjoyed [positive detail], and sorry that [issue] fell short. We've shared it with our [location] team so we can do better next time.”
Negative review
“[Name], we're sorry about [issue] at our [location]. That is not the experience we aim for. Please contact us through [channel listed on your profile] so we can look into it and make it right.”
Move the conversation private, do not argue facts in public, and make sure someone actually follows up.
Review with no text
“Thank you for the [rating]-star rating, [name]. We appreciate you visiting our [location].”
Scaling templates across locations
Templates help a central team stay consistent, but filling in names and details by hand across dozens of locations takes hours each week. KavaPulse uses your brand voice to draft each reply with the reviewer's own details and posts it automatically for the star ratings you choose.
